RECORDS MANAGEMENT ASSISTANT II (MEMORY/RECORDS ASSISTANT – GRADE II)

Duties and Responsibilities


  1. The Records Management Assistant II will be responsible for:
  2. Registering incoming correspondence in the registry (Incoming Correspondence Register).
  3. Registering outgoing correspondence sent outside the institution (Outgoing Correspondence Register).
  4. Distributing files to responsible officers (Action Officers).
  5. Receiving files from responsible officers (Action Officers).
  6. Receiving files returned to the registry from officers.
  7. Returning files to filing racks/cabinets or any other designated storage area.
  8. Monitoring and tracking the movement of files within the institution (File Tracking).

Qualifications

  1. An applicant must:
  2. Have completed Form IV (Ordinary Level) or Form VI (Advanced Level) education; and
  3. Hold a Diploma (NTA Level 6) in Records Management/Records and Archives Management from a Government-recognized institution; and
  4. Possess basic computer skills.
